Software recommendations for managing 10+ rental units?

I've recently expanded my real estate portfolio to ten residential units and the spreadsheets I've been using are starting to become a total nightmare. I need something that can handle automated rent collection, expense tracking, and ideally lease document storage all in one place. Does anyone have experience with platforms like Buildium or AppFolio, or should I be looking at something smaller and more user-friendly for a portfolio of this size? I'd really appreciate hearing what you guys use to keep your books balanced without spending all weekend on admin tasks.

Honestly, at 10 units, you are in that awkward middle ground where spreadsheets fail but enterprise software feels like overkill. I use Avail and it works great for me.

I second the Avail recommendation. It’s free for landlords and the tenants pay the fees, plus it handles the document signing perfectly.

Buildium is great if you plan on growing to 50+ units, but the monthly minimums might eat into your margins with just 10 units. Definitely check their pricing page carefully.

Stay away from AppFolio if you are under 50 units. They have a high minimum monthly fee that just isn't worth it for a small portfolio.

I've been using DoorLoop for about a year now. It’s much more user-friendly than the legacy platforms and the interface is actually modern.

Yes, it syncs with QuickBooks Online seamlessly. Saved me so many hours during tax season.

Honestly, I still use Excel. Once you build a solid template, it's free and you have complete control over your data.

I tried Excel for years, but the automated rent reminders in dedicated software are a game changer. Tenants pay on time way more often now.

Check out Hemlane. It’s built specifically for the 'small' landlord who has 5-20 units. It covers maintenance coordination too, which is a huge plus.

Whatever you choose, make sure it offers an easy way to export data. You don't want to get locked into a proprietary format if you ever decide to switch platforms.

Great point. I lost a ton of history when I switched from a clunky local software to a cloud-based one last year. Always back up your stuff.

Has anyone tried RentRedi? I keep seeing ads for it but I'm not sure if it's reliable for tracking expenses.

I use RentRedi and it’s solid for rent collection, but the accounting side is a bit basic. If you need robust expense reporting, look elsewhere.
